MedicsCloud Medical Billing and RCM Support
An outside billing team can work in the Medics Suite from Advanced Data Systems through named accounts you create under a signed BAA. We first confirm whether your billing runs in MedicsPremier, the integrated package or another PM interfaced to MedicsCloud, then take charges, claims, remits, denials and A/R.
In short: outside billing teams can work in MedicsCloud and MedicsPremier from named, two-step accounts under a BAA. We confirm which Medics products hold your billing and how claims reach your clearinghouse, then run charge review, claims, ERA posting, denials and A/R.
What is MedicsCloud, and who makes it?
MedicsCloud is the EHR from Advanced Data Systems Corporation (ADS), part of what the company calls the Medics Suite. ADS says the EHR is meant for virtually any specialty and is available separately from its other products.
ADS names MedicsPremier as its practice management system and says it can be implemented on its own. It also sells an integrated EHR and practice management package.
That matters for billing work, because the same practice may run MedicsCloud, MedicsPremier or an EHR from another vendor interfaced to MedicsPremier. ADS also describes an e-superbill option for sites with no EHR. We ask which setup you run first. See every EHR system we work in.
How do claims move from MedicsCloud to the clearinghouse and payer?
In the integrated package, ADS says claims are submitted directly from clinical encounters, with real-time code validation, claims scrubbing and denial management in the billing tools. The claim then goes through EDI to a clearinghouse and on to the payer.
ADS describes its EDI as specialty-specific, covering claims, eligibility, reconciliation of EOBs, claim tracking and denial management. It says the system supports HCFA and UB claims and, as an option, workers' comp and no-fault claims.
ADS's public pages do not name which clearinghouse a given client uses, so we confirm the connection with you at setup and then submit through the one you already have.
ADS also lists claim intelligence in the practice management product: denial risk alerts before claims go out, over-coding alerts, real-time claim tracking and editing, and hands-off follow-up with secondary insurers.
Which claim types does MedicsCloud support, and what do we check on each?
HCFA is the older label for the professional form, now the CMS-1500, and UB is the institutional UB-04. Workers' comp and no-fault are an option.
| Claim type ADS lists | What we check before it goes out |
|---|---|
| HCFA (professional) | Diagnosis pointers, modifiers, place of service and rendering versus billing provider |
| UB (institutional) | Bill type, revenue codes, patient status, condition and occurrence codes, and authorization |
| Workers' comp and no-fault (option) | Whether the option is switched on for your account, and payer-specific claim and attachment rules |
Where do denials start in MedicsCloud and MedicsPremier?
Most denials start at scheduling and registration, where ADS puts several controls. Its pages list out-of-network alerts during scheduling, batch eligibility checks and a patient responsibility estimator reachable from the scheduler.
We pair them with our eligibility verification work, because an alert only helps if someone acts on it before the visit.
ADS says the system accepts a single tax ID or an unlimited number of them, with a built-in master patient index to identify the right patient. When a group bills under more than one tax ID, we check that each charge sits under the right one.
How do charges get captured, and what is missed?
A visit that never produces a charge never reaches a payer. ADS says its scheduler books staff, resources and ancillary services tied to an appointment, and the charge follows the visit.
So we compare completed visits with charges entered and watch the lag between date of service and charge entry. This is charge capture review.
How does MedicsCloud post ERA and 835 remittances?
ADS says its billing tools handle EOB reconciliation through ERAs, which are the electronic 835 remittances from payers. Its public pages do not describe the posting screens, so we learn your posting setup from you and your team during setup.
On every ERA we read the adjustment codes, CARC and RARC, against the contract before an adjustment is written off. ADS says denied claims can be edited and resubmitted in the system, and we use that for corrected claims.
Lines left unpaid after the payer's turnaround go to accounts receivable follow-up.
What access does a billing partner need in MedicsCloud?
We need a named user for each team member, created by you and limited to billing roles, after a BAA is signed.
Our data protection is on our security page: HIPAA training and NDAs for all staff, encrypted automatic backups and a dedicated compliance officer.

Which MedicsCloud reports matter for denial and A/R tracking?
ADS says the practice management product has financial and operational reports, with KPIs in dashboards and most exportable to Excel. ADS does not publish report names publicly, so we agree them with you at setup.
| What we need to see | Why |
|---|---|
| Charge lag, from visit date to charge entered | Late charges delay every payment behind them |
| Claim status by payer | Shows what is unsent, rejected, pending or paid |
| A/R aging by payer | Shows where money is stuck and which payer to call first |
| Denial trends by reason and payer | Shows whether one front-end fix would remove a group of denials |
| Payment variance against contract | Flags underpayments early |
What billing mistakes are common in MedicsCloud?
We attribute no defects to the vendor. These are general checks, shaped by what ADS documents.
| Check | Why it matters |
|---|---|
| Which product holds the billing: MedicsPremier, the integrated package, or another PM interfaced to the EHR | Charges and remits live in one place, and an interface adds a point where data can drop |
| Whether the workers' comp and no-fault option is on | ADS lists it as an option, so those claims may need setup first |
| Tax ID on each charge for multi-entity groups | A charge under the wrong tax ID goes to the wrong billing entity |
| Duplicate patient records | A split record splits the balance and insurance history |
| Alerts acted on before the visit or claim | Out-of-network, eligibility and denial-risk alerts only help if someone responds |
Which practices and specialties use MedicsCloud?
ADS's navigation lists behavioral health, podiatry, laboratory, ophthalmology, orthopedics, pain management, neurology and radiology among its specialties. See our neurology billing and pain management billing pages. For enterprise and multi-site setups, see large groups and health systems.
Similar systems: AdvancedMD, Crystal PM and MEDENT.

Common questions
Straight answers from the team that does the work.
Ask a billing lead directly. A 20-minute call, Monday to Friday, 9am to 5pm Eastern.
01Can an outside billing company work inside MedicsCloud?
Yes, if you give it access. Your Medics administrator creates a named user for each person on our team, limited to billing roles, after a BAA is signed. We never share logins. Scope and reporting are agreed with you at setup.
02What access does a billing partner need in MedicsCloud?
A named user for each team member, limited to billing roles, two-step login, and a signed BAA first. We also need to be added to your clearinghouse and payer portals as named users, with no shared logins anywhere. Your administrator creates and manages each account.
03Which MedicsCloud reports matter for denial and A/R tracking?
ADS says its practice management product offers financial and operational reports and KPI dashboards, most exportable to Excel. We want charge lag, claim status by payer, A/R aging by payer, denial trends and payment variance. We agree the exact report names with you at setup.
04How do claims move from MedicsCloud to the clearinghouse and payer?
ADS says claims are submitted from the encounter with code validation and claims scrubbing, then sent by EDI. It lists HCFA and UB claims, with workers' comp and no-fault as an option. We confirm which clearinghouse you use and submit through it.
05How does MedicsCloud post ERA and 835 remittances?
ADS says its billing tools reconcile EOBs through ERAs. Its public pages do not show the posting screens, so we learn your setup from you at onboarding. Whatever the screen, we read every CARC and RARC against the contract before writing off an adjustment.
06What billing mistakes are common in MedicsCloud (charge capture, modifiers, demographics)?
We attribute no defects to ADS. The checks we run are a visit with no charge, a missing modifier or place of service, a charge under the wrong tax ID, duplicate patient records, and alerts that nobody acted on. Each is caught by comparing visits, charges and claims.
07Is MedicsCloud the same thing as MedicsPremier?
No. ADS names MedicsCloud as its EHR and MedicsPremier as its practice management product, which it says can be implemented on its own. It also sells an integrated package and lets MedicsPremier work with another vendor's EHR. We ask which setup you use.
08Does MedicsCloud support workers' comp and no-fault claims?
ADS says the Medics system supports workers' comp and no-fault claims, and its EDI page describes them as an option. We check whether the option is on for your account, then apply the payer rules covered in our workers' comp and no-fault billing service.
09Can you work inside MedicsCloud if our billing sits in a different system?
Yes. ADS says MedicsPremier can interface with another vendor's EHR, so billing may sit apart from the chart. We work in whichever system holds charges, claims and remits, and ask about the interface at setup so that a dropped charge between the two systems is caught early.
10Is there a billing company that works in MedicsCloud or MedicsPremier?
Yes. Nucleus Align works inside MedicsCloud on accounts you create, so you keep your system. We confirm which Medics product holds your billing, then work the queues you assign for charge review, claims, ERA posting, denials and A/R. Claims go out within 24 hours of charge entry and denials are worked within 48 hours.
11Can Nucleus Align work in MedicsCloud without sharing a login?
Yes. Each person on our team gets a named MedicsCloud account of their own under a business associate agreement, with two-step login. You set up each named user. That keeps every action traceable to one person, and you decide when access ends.
