Billing inside MEDENT

MEDENT medical billing and RCM support

An outside billing company can work your MEDENT account on named logins your practice issues, after a BAA is signed. MEDENT is an EHR, practice management and patient portal system for physician practices, and its own site lists outside billing firms.

In short: you keep MEDENT and we work the billing queues you hand over, from named users with two-step login. Nucleus Align has no partnership with MEDENT.

What is MEDENT and who uses it?

MEDENT is an EHR, practice management and patient portal system for physician practices, sold by Community Computer Service, Inc., which does business as medent. Its own pages describe it as an all-in-one system and say the company is privately held and based in Auburn, New York, with more than 50 years in the business.

The vendor says development, support and services are managed in-house, and that the system runs in both cloud and client-server environments. It names independent practices and ACO networks as its users.

EMR/EHRCharting built around efficiency, with disease management and health maintenance formulas, mobile access and Suki-powered ambient note draftingCharges start in the visit documentation
Practice ManagementPatient chart information flows into the eSuperbill, charge entry and posting areasWhere charges are reviewed, billed and posted
Daily Billing SummaryAn alternative Chart Central view where a biller can view or change billing information before postingA review screen before charges post
Waystar Altitude AIAn AI suite for the revenue cycle, listed on MEDENT's AI pageAn add-on to confirm per client, not part of every account

Which of these your account has turned on varies by practice, so we read your setup first.

Can an outside billing company work inside MEDENT?

Yes, when the practice issues the logins. MEDENT's Supported Services page has a section headed Revenue Cycle Management and Billing Services that lists outside billing firms by name.

Nucleus Align has no partnership with MEDENT. The practice keeps control of the system, and our role is the billing queues it hands over, worked on named logins under a signed business associate agreement.

What access does a billing partner need in MEDENT?

Named users with billing permissions only, created by the practice, after the BAA is signed. Nobody on our side shares a login.

1
Sign the BAA
It comes before anyone on our side opens a chart, claim or report.
2
Confirm the environment
MEDENT runs as a cloud system or a client-server system. Your administrator tells us which one you have, because the way our users reach it depends on the answer.
3
Create a user per person
Your administrator adds each team member by name, with role-based access limited to the billing areas, claims and reports we need.
4
Turn on two-step login
Every user on our side signs in with a second step on every system we touch.
5
Agree scope and reporting
We list the queues, payers and clearinghouse tasks that are ours and the ones that stay with your office. Scope and reporting are agreed at setup.

Data protection terms are on our security page.

How do claims move from MEDENT to the clearinghouse and payer?

MEDENT's practice management pages say information from the patient chart flows into the eSuperbill, charge entry and posting areas. A charge is built from the visit, reviewed in billing, and then sent as an electronic claim through a clearinghouse to the payer.

MEDENT's partner list describes one company as simplifying electronic claims submission, remittances and eligibility. The pages do not name the clearinghouse a given practice uses, so we ask the practice which connection its account runs on.

Electronic professional and institutional claims use the X12 837 transactions that HIPAA names in 45 CFR 162.1102. The practice should be able to name its clearinghouse and tell us where rejection reports arrive.

How does MEDENT post ERA and 835 remittances?

MEDENT lists posting among the areas of its practice management system. HIPAA's standard for the electronic remittance advice is the X12 835 under 45 CFR 162.1602, so the file reaching the practice should be an 835 in X12 version 005010X221.

When we post, we compare each payment with what the payer should have paid, post contractual adjustments apart from patient responsibility, and flag short pays and unexplained adjustment codes for the denial queue.

What do we do inside MEDENT?

  • Review charges for codes, modifiers, diagnoses and rendering provider before they post, using the Daily Billing Summary if your account has it
  • Clear edits and rejections so claims go out within 24 hours of charge entry
  • Submit through the clearinghouse connected to your account
  • Post each ERA against the expected payment and flag short pays
  • Work denials from a queue within 48 hours and prepare appeals where the record supports one
  • Follow up open A/R, oldest and largest balances first
  • Send patient statements and handle billing questions under rules you set
Revenue Performance Advisor and Waystar tools
MEDENT lists Revenue Performance Advisor among its partner tools and Waystar Altitude AI on its AI page. If either is active on your account, we work the rules and alerts it produces and add no second set.

Which MEDENT reports matter for denial and A/R tracking?

MEDENT says it ships a wide range of interactive and printed reports, and lists interfaces to dashboardMD and Clinigence for enterprise reporting. Its pages do not name a specific denial or A/R aging report, so we describe what we pull by purpose and map each to whatever your account calls it.

  • Charge lag: days between the visit and charge entry
  • Claim status: unbilled, held, sent, rejected or paid
  • A/R aging by payer: where open money sits and how old it is
  • Denial trends: payers, reason codes and providers that repeat
  • Payment variance: paid amount against the contract or expected amount

Your MEDENT administrator can tell us the report names that fit.

Does MEDENT produce CMS-1500 or UB-04 claims?

Check the claim type your account is set up for before planning any facility work. CMS describes the CMS-1500 as the standard claim form used by a non-institutional provider or supplier, with the National Uniform Claim Committee (NUCC) responsible for its design and maintenance.

The institutional form is the CMS-1450, also called the UB-04. MEDENT's pages describe physician practices, so we expect professional claims. If a client runs MEDENT in a facility setting, we confirm the enabled claim type before scope is set. See hospital and facility billing.

What billing mistakes are common in MEDENT?

We do not attribute defects to MEDENT. These are the general checks we run on any account, and the Daily Billing Summary is where a biller can review billing information before posting.

CheckWhat we look atWhy it matters
Rendering provider and datesProvider and service date on every chargeA mismatch breaks the payer match

Still have a question?

Ask a billing lead directly. A 20-minute call, Monday to Friday, 9am to 5pm Eastern.

01Can an outside billing company work inside MEDENT?

Yes, on logins the practice issues. MEDENT's Supported Services page lists outside billing firms. Each of our staff gets a named user with billing-only permissions after the BAA is signed, and nothing is shared. Nucleus Align has no partnership with MEDENT.

02What access does a billing partner need in MEDENT?

Named users with role-based access limited to billing, claims and reports, created by your administrator after a BAA is signed. Each user signs in with two-step login and no logins are shared. We also confirm whether your account runs in the cloud or client-server environment, since access depends on it.

03Which MEDENT reports matter for denial and A/R tracking?

MEDENT says it includes interactive and printed reports but its pages name no specific denial or A/R report. We pull charge lag, claim status, A/R aging by payer, denial trends and payment variance, then map each to the report name your administrator gives us.

04How do claims move from MEDENT to the clearinghouse and payer?

Chart information flows into the eSuperbill and charge entry, and billing sends the claim electronically through the clearinghouse to the payer. MEDENT's pages do not say which clearinghouse a practice uses, so we ask the practice and confirm where rejection reports arrive.

05How does MEDENT post ERA and 835 remittances?

The HIPAA standard remittance is the X12 835 under 45 CFR 162.1602. How it posts in your account depends on your setup, by hand or with a posting tool. We confirm that first, then compare each payment with expected, split adjustments from patient responsibility and flag short pays.

06What billing mistakes are common in MEDENT (charge capture, modifiers, demographics)?

We do not blame the system. We check rendering provider, service dates, modifiers against the payer's policy, member ID against the card and eligibility response, edits left unworked and remit posting. MEDENT's Daily Billing Summary is a place to review billing information before posting.

07Does Nucleus Align have a partnership with MEDENT?

No. Nucleus Align has no partnership, reseller status or endorsement with MEDENT. We work inside client-owned MEDENT accounts on named logins the practice issues, and we use the MEDENT name only to identify the system. Scope is agreed with you at setup.

08What happens to AI tools such as Waystar Altitude AI in a MEDENT account?

MEDENT's AI page lists Waystar Altitude AI for revenue cycle work, including claim rules and denial prediction. If it is active in your account, we work the alerts and rules it creates. Ask your administrator whether it is turned on.

09Medical billing service for MEDENT users

Yes. Nucleus Align works inside MEDENT on accounts you create, so you keep your system. We work the billing queues you hand over in MEDENT, covering claim checks, remit posting, denials and A/R follow-up. Claims go out within 24 hours of charge entry and denials are worked within 48 hours.

10Can you bill from MEDENT without changing our setup?

You keep MEDENT, and we take the claim and denial work you assign, through named accounts you control. Claims go out within 24 hours of charge entry and denials are worked within 48 hours. Nucleus Align does not move you to another platform. Book a call to agree the scope.

11Do we have to share our MEDENT passwords with a billing company?

No. You create separate named MEDENT users for the Nucleus Align team, with only the access you choose, plus two-step login and a signed BAA first. Each login is a named user. Your own staff keep their logins, and you can end ours whenever you decide.
