Medical billing calculators for deadlines, KPIs and costs

These five calculators each answer one billing question from figures or dates you enter yourself. Two count deadlines, and three work out revenue cycle numbers and costs. Every tool page shows its formulas, a worked example and what the result does not tell you.

Which billing calculator answers my question?

Match the question to the tool. The table lists what you enter and what you get back, and each tool page explains its inputs line by line.

For the thinking behind the revenue cycle numbers, read the medical billing KPIs guide for CFOs. The wider guides library covers the decisions the calculators feed into.

How do the calculators count, and what do they leave out?

Each calculator does plain arithmetic on what you type, and each page prints the formula. The deadline tools follow the rule text, and the figure tools follow the definitions written on their own pages.

  • The NSA deadline calculator counts business days, which skip Saturdays, Sundays and U.S. federal holidays, under 45 CFR 149.510. It also shows where the June 4, 2026 federal IDR operations rule is not yet in force, which is most of the changes to open negotiation, initiation, entity selection and the offer and decision timing.
  • The timely filing calculator applies the Medicare limit of 1 calendar year after the date of service from 42 CFR 424.44(a)(1). For commercial payers you type the number of days from your agreement or the payer's manual.
  • The A/R days and denial rate calculator divides the A/R balance by average daily revenue or charges, and divides claims denied by claims submitted.
  • The collection rate calculator shows the gross rate, payments divided by charges, and the net rate, payments divided by charges minus contractual adjustments.
  • The in-house vs outsourced calculator adds up your costs and compares them with a vendor percent of annual collections, then returns the break-even vendor percent.

None of the five shows a benchmark or a target. The A/R days and denial rate page says it carries no benchmark, the collection rate page says no source it opened states a good number, and the cost calculator never suggests a percent for you. Compare a result with your own earlier periods and cut it by payer.

The tools do not cover state processes such as Texas TDI mediation, extensions for extenuating circumstances, Medicare timely filing exceptions, or the costs of changing vendors. Treat the NSA output as a working calendar and confirm anything close to a deadline against the rule text. The calculators are not legal advice. FAQ

Common questions

Straight answers from the team that does the work.

Still have a question?

Ask a billing lead directly. A 20-minute call, Monday to Friday, 9am to 5pm Eastern.

01Do the billing calculators send what I type anywhere?

No. The calculators work on the figures in the fields and show the result on the page, and the calculator code does not send those figures anywhere. The form at the bottom of each tool page is a separate booking form. It sends the name, practice, email, phone, specialty and collections you type into that form, and only when you submit it.

02Do the calculators tell me if my A/R days or collection rate is good?

No. None of the calculators shows a benchmark or target. The A/R days and denial rate page says HFMA's MAP Keys give formulas, not target values, and the collection rate page says no source it opened states a good number. Compare the result with your own earlier periods and cut it by payer before you act.

03How does the NSA deadline calculator count days?

It counts business days, which skip Saturdays, Sundays and U.S. federal holidays. It uses the 11 legal public holidays in 5 U.S.C. 6103(a), with a Saturday holiday observed on Friday and a Sunday holiday observed on Monday. A period that begins on a day counts that day as day 1 when it is a business day, and otherwise the next business day.

04Does the timely filing calculator know my payer's limit?

Only for Medicare. The tool applies the 1 calendar year limit in 42 CFR 424.44(a)(1). For commercial payers it does not know your contract, so you type the number of days from your agreement or the payer's current manual. For Medicaid it is not preset, because each state sets its own rule.

05What is the difference between gross and net collection rate?

The gross rate is payments divided by charges. The net rate is payments divided by charges minus contractual adjustments, so it measures how much of the amount your contracts allowed you collected. The collection rate calculator shows both from the same three inputs. HFMA has no MAP Key under either name, so neither is attributed to a standards body.

06Can I use a calculator result as legal advice?

No. The NSA deadline page says its output is a working calendar and is not legal advice, and the cost calculator page says it only does cost arithmetic. Confirm anything close to a deadline against the rule text, and have your attorney read a vendor agreement before you sign it.
