AdvancedMD Medical Billing and RCM Support

Yes, an outside billing team can work inside AdvancedMD. Your administrator creates named, role-based accounts for our team after we sign a Business Associate Agreement, and we work charges, claims, remittances and denials in your own system.

In short: we work in your AdvancedMD under named accounts with two-step login, in the worklists and reports you approve. Claims go out within 24 hours of charge entry and denials are worked within 48 hours.

Already on this system? We work in it. No EHR, or tired of paying for one? Our billing clients get EHR or PM software free.

What Is AdvancedMD and Who Uses It?

AdvancedMD is a cloud suite for medical offices that combines practice management, an EHR and patient engagement tools. The vendor says a practice runs the whole suite on one database with one login.

The vendor lists three practice types: independent practices, large group practices (including MSOs, IPAs and ACOs) and billing companies. Its specialty menu includes family practice, internal medicine, mental health and physical therapy.

The billing side has named parts: Claims Management, an integrated Clearinghouse, an A/R Control Center, eEligibility, eRemittance, a Central Billing Office, Report Center and a coding tool. Most of our work happens in those screens.

Is AdvancedMD Certified Health IT?

AdvancedMD says its EHR is certified under the ONC Health IT Certification Program. Its certification page lists CHPL product number 15.04.04.2666.Adva.25.07.1.251215 for the EHR and 15.04.04.2666.AdvM.08.03.1.251218 for AdvancedMD Mobile, plus criteria such as 170.315(b)(10) EHI export and a FHIR API under 170.315(g)(10).

These numbers come from the vendor's page. The ONC listing itself blocked our request, so we have not checked it there. ONC certification covers clinical and data-exchange functions and says nothing about how a given practice's billing is set up.

We hold no certification, partnership or reseller link with the vendor. The vendor runs its own billing service and a partner program for billing companies, and we are not part of either.

How Do We Get Access to Your AdvancedMD System?

Your practice administrator controls access from start to finish. Each step keeps our work tied to a named person.

1
Sign the BAA
We sign a Business Associate Agreement with your practice before anyone opens a patient record. All of our staff complete HIPAA training and sign NDAs.
2
Create Named Accounts
Your administrator adds one user for each of our team members and gives each a role limited to billing screens, worklists and reports. No shared logins.
3
Require Two-Step Login
The vendor offers multi-factor login by text message, email or authenticator app. We use two-step login on every system, and your administrator can set it as the default for all users.
4
Set Scope and Reporting
We agree at setup which worklists we own, which reports we run and how often we report back to you.
5
Use Your Existing Connections
We submit through the clearinghouse and payer portals your practice already has, under accounts you control.

What Do We Do Inside AdvancedMD?

We cover the work between a finished visit and posted cash, in your own system.

  • Review charges for missing rendering provider, place of service, diagnosis pointers and modifiers before they reach a claim
  • Clear claim review screens and rejections, then resubmit through your clearinghouse
  • Send claims within 24 hours of charge entry
  • Post ERA 835 remittances and match each batch to the deposit
  • Work denials within 48 hours using the CARC and RARC codes on the remittance
  • Work collections lists by payer, age and provider, file appeals and prepare patient statements

The full scope sits on our medical billing, denial management and revenue cycle management pages.

How Do Claims Move from AdvancedMD to the Clearinghouse and Payer?

The vendor describes its clearinghouse as part of the billing software. When you post charges, claims are scrubbed within seconds, then submitted from a single portal and followed in a claim adjudication log. The vendor says the network reaches 1,800 carriers.

A professional claim travels as an 837P transaction. 45 CFR 162.1102 names the X12 837 as the HIPAA standard for health care claims, and the paper form behind it is the CMS-1500.

The vendor says its ClaimInspector scrubber checks for CCI, HIPAA and LCD errors. A claim scrubber is a set of edits run before the payer sees the claim. We still read modifiers, diagnosis links and demographics ourselves.

How Does AdvancedMD Post ERA and 835 Remittances?

An ERA is the electronic X12 835 file a payer sends to explain a payment, and 45 CFR 162.1602 adopts that format as the HIPAA standard. The vendor's eRemittance page says the software receives and matches payments, lets you set posting rules by payment type, and emails you the result of each posting.

Its page lists four payment types the automation handles: ACH, BOP (third-party processors), CHK (paper checks) and NON (non-payments). Denials and unexpected amounts go to worklists that show the carrier's reason.

We check every posting against the bank deposit and send each denial code to a work queue.

Which AdvancedMD Reports Matter for Denial and A/R Tracking?

We group reports by the question they answer. The vendor's reporting page names a Report Center, a Report Generator, a Financial Dashboard and a Dynamic Dashboard, with filters by provider, carrier, location and timeframe.

What we track and the vendor tool it maps to
PurposeWhat we look atVendor tool, if your setup has it

What Billing Mistakes Are Common in AdvancedMD?

We do not assign defects to the vendor. These are the checks we run, each tied to something the vendor documents.

Checks we run and why
CheckReason, from the vendor's own pages
ERA posting rules by payment typeRules are set per type (ACH, BOP, CHK, NON), so a wrong rule affects every payment of that type
Posting success emailsThe vendor sends a success or failure email per posting, so someone has to read them
Scrubber coverageClaimInspector is described as checking CCI, HIPAA and LCD, so modifiers and demographics still get a human check
Worklist ownershipDenials land in worklists; each list needs a named owner or items age
User permissionsIn multi-location setups, access follows user profiles, so we confirm our role sees every location in scope

On modifiers, see our NCCI edits guide for the CMS rule behind the CCI edits the vendor mentions.

Can We Bill for Several Providers or Locations in AdvancedMD?

Yes, where your setup includes the Central Billing Office. The vendor says it lets you manage billing for each provider and location with a single login, keep independent reporting for each provider and set what each user can reach.

Groups of this size should also read our page on large groups and health systems. If you compare platforms, our eClinicalWorks and Greenway Health pages cover the same questions for those systems.

Does AdvancedMD Handle Institutional UB-04 Claims or Only Professional Claims?

AdvancedMD's pages describe professional billing: claims scrubbing, ERA and a coding tool for practices. They do not mention the UB-04 institutional form, so if you bill facility fees we confirm at setup what your build produces. Ask the vendor or your account manager whether your configuration supports it.

If you bill facility claims, we apply our UB-04 checks for bill type, revenue codes and patient status. See hospital and facility billing.

How We Handle Billing in AdvancedMD

Still have a question?

Ask a billing lead directly. A 20-minute call, Monday to Friday, 9am to 5pm Eastern.

01Can an outside billing company work inside AdvancedMD?

Yes. Your administrator creates named, role-based user accounts for our team after we sign a Business Associate Agreement. We use two-step login and never share logins. Every action stays in your audit trail, and you can remove an account at any time.

02Which AdvancedMD reports matter for denial and A/R tracking?

We look at charge lag, claim status, A/R aging by payer, denial trends and payment variance. The vendor names a Report Center, Financial Dashboard and A/R Control Center worklists for this work. Which ones you have depends on your setup, and we agree the report list at setup.

03How do claims move from AdvancedMD to the clearinghouse and payer?

The vendor says charges are scrubbed when posted, then sent from one portal through its integrated clearinghouse and tracked in an adjudication log. Professional claims use the X12 837P format that 45 CFR 162.1102 adopts. If your practice uses another clearinghouse, we work through it instead.

04How does AdvancedMD post ERA and 835 remittances?

The vendor says eRemittance receives and matches payments, applies posting rules you set by payment type, and sends an email on each posting's success or failure. Denials go to worklists. We compare each posting to the deposit and route any denial code to a queue for work within 48 hours.

05What billing mistakes are common in AdvancedMD (charge capture, modifiers, demographics)?

We make no claim about vendor defects. The mistakes we check for are the usual ones: missing modifiers, wrong diagnosis links, stale insurance details and unreviewed denials. The vendor says its scrubber checks CCI, HIPAA and LCD rules, so we add a human review of modifiers and demographics before submission.

06Is AdvancedMD data safe with an offsite billing team under a BAA?

The vendor describes multi-factor login, hourly offsite backups and a security program it says generally follows ISO 27001. On our side, we sign a BAA first, train all staff in HIPAA, use NDAs, require two-step login and keep encrypted automatic backups.

07Does AdvancedMD handle institutional UB-04 claims or only professional claims?

AdvancedMD's pages describe professional billing and do not mention the UB-04 form, so we confirm at setup what your build produces. Ask your account manager whether your configuration supports institutional claims. If you bill facility claims, we apply our UB-04 checks on bill type, revenue codes and patient status.

08What does outsourcing billing cost for an AdvancedMD practice?

Pricing depends on the scope you choose, and our pricing page sets it out in full. AdvancedMD software fees are separate and set by the vendor. You keep your current subscription, and pay us only for the billing work. Scope is agreed at setup.

09Medical billing service for AdvancedMD users

Yes. Nucleus Align works inside AdvancedMD on accounts you create, so you keep your system. We take your charge review, claims, ERA posting, denials and A/R in the worklists and reports you approve, for one provider or several locations. Claims go out within 24 hours of charge entry and denials are worked within 48 hours.

10Can an outsourced billing team use our AdvancedMD logins?

No. Nucleus Align uses its own named AdvancedMD accounts, which you create with role-based access, behind two-step login and a signed BAA. No one shares a password. We see only the worklists and reports your role settings allow. Your own staff keep their logins. You can remove access at any time.
