CharmHealth medical billing and RCM support
CharmHealth is a cloud EHR and practice management system, and its BillerPro platform handles claims for practices and billing companies. An outside team works in it through named user accounts that the practice or the billing account owner sets up. We review charges, check claims before they go out, post remittances and work denials, using the reports the system documents.
In short: we work in CharmHealth and BillerPro through named, two-step accounts under a signed BAA, and we report from your own data. We claim no partnership with the vendor. Claim settings, payment posting and denial views here come from the vendor's BillerPro user guide.
What is CharmHealth and who uses it?
CharmHealth is a cloud-based EHR with practice management, billing and revenue cycle tools. The vendor says it was founded and designed by doctors.
The EHR page lists specialties such as family practice, urgent care, internal medicine, pediatrics, psychiatry and gynecology. Its practice management page lists scheduling, invoicing, real-time eligibility checks, electronic claims and electronic remittance advice.
Billing sits in two places. Practices on the CharmHealth EHR can run claims through the vendor's RCM portal, and its medical billing platform, CharmBillerPro, is built for billing companies and groups that manage many practices, on CharmHealth or other EHRs. The vendor also sells its own RCM service, so we first confirm who owns the claims.
How does an outside billing team get access to CharmHealth?
Our security page covers data protection.
How do claims move from CharmHealth to the clearinghouse and payer?
The BillerPro guide sorts practices into three types. A practice not on the CharmHealth EHR sends chart notes to the biller, who adds patient and payer details and generates the claim. A practice on the EHR has its encounters flow into BillerPro, where the claim is generated from the chart note.
The guide says to download a PIF file or an ANSI 1500 form for electronic submission and send it to the clearinghouse or payer. For EHR practices that use Optum, it says claims are submitted electronically to Optum.
Claims are built on the CMS-1500. The guide says a claim shows warnings and errors in a right-hand pane and moves from Draft to Verified when saved as verified. The electronic format is explained under 837P.
At setup we confirm which of the three routes your account uses, which clearinghouse sends the claim, and who receives the ERA (835).
How does CharmHealth post ERA and 835 remittances?
The vendor lists ERA auto-posting on its billing platform page and electronic remittance advice on its practice management page. The BillerPro setup guide says the payment adjustment type named Provider is the default and cannot be deleted, because it is used when payment is posted automatically from the ERA.
Payments from an explanation of benefits (EOB) are posted by hand with the Post Payment action. The guide says claim status then changes: Paid, Partially Paid, Closed-PR, Closed-Adjustment, UnPaid or Denial. A denied CPT line is marked with a Denied checkbox, which opens fields for denial code, type and comment. An admin email can also send an ERA download history of the last 24 hours.
What billing mistakes are common in CharmHealth?
Each check follows a setting or rule in the vendor's BillerPro guide. We attribute no defect to the vendor; these are settings that, left at default, can send a payer something it does not want.
| Check | What the vendor documents |
|---|---|
| Rendering and service facility sent or omitted | Under the ANSI 5010 specification, CharmHealth by default omits the rendering provider or service facility when it matches the billing provider. The guide says a few payers require them anyway, and an option sends them |
| Extra identifiers beside the NPI | By default no other identifier is sent when an NPI exists. The guide lists State License Number (0B), UPIN (1G), commercial number (G2), location number (LU) and taxonomy code (ZZ) as the qualifiers a payer-specific option can send |
| Box 17 and Box 31 provider choice | Settings choose referring, supervising or ordering provider for Box 17, and a priority such as co-signed, signed, encounter, then invoice provider for Box 31. A wrong priority puts the wrong name on every claim |
| Bulk generation changes | When generating claims in bulk, the guide lets you keep or replace the place of service and the modifier on every selected encounter. Check which choice was made |
| Resubmitting a denied claim | The guide says to use resubmission code 7 and the original reference number in Box 22. A resubmission without the original number is denied as a duplicate |
| Imported visits | HL7 DFT_P03 and CSV imports create Draft claims. HL7 imports use one default billing provider for all claims, and a CSV row takes at most 10 CPT codes |
What do we do inside CharmHealth?
- Charge review: we check that each encounter submitted to RCM has charges and the chart fields your contract marks mandatory.
- Coding: we check procedure codes, modifiers, diagnoses and place of service against the note.
- Claim edits: the CMS-1500 settings above are checked per payer, and warnings and errors are cleared before a claim is verified.
- Submission: claims go out within 24 hours of charge entry, through your clearinghouse.
- Remittances: we post the ERA (835) and EOB payments and match them to charges.
- Denial work queues: denials are worked within 48 hours.
- A/R follow-up and patient statements for balances that remain open.
Which CharmHealth reports matter for denial and A/R tracking?
The BillerPro dashboard shows claims submitted, collections, patient responsibility, adjustments, write-offs, denials and receivables for a date range, and reports export to CSV. The vendor also documents a Claim Denials workspace with a Denial Watchlist and grouping by denial category.
| Purpose | Vendor report we use |
|---|---|
| Claim status | Claim Report, filterable by provider, patient, payer and status, plus transaction status on each claim |
| A/R aging by payer | Receivables report by claim, grouped by payer, with the age of each outstanding claim |
| Denial trends | Claim Denials workspace and the Denial and Rejection reports, including the Rejection Report for claims marked Rejected by Payer |
| Payment variance | Payment Report, CPT Payment Report and Payment Check Report |
| Remittances with no claim | EOB With No Claim in RCM, which lists EOBs received for claims not sent from the RCM service |
Charge lag is not a named report in the guide, so we measure it from the encounter date to the claim creation date. Scope and reporting are agreed with you at setup.

Common questions
Straight answers from the team that does the work.
Ask a billing lead directly. A 20-minute call, Monday to Friday, 9am to 5pm Eastern.
01Can an outside billing company work inside CharmHealth?
Yes, if the account owner gives it access. The vendor's BillerPro guide describes an administrator adding members with roles such as Coder and Biller. After a BAA is signed, each person on our team gets a named user with role-based access and two-step login. We never use shared logins.
02What access does a billing partner need in CharmHealth?
Only the practices in scope and the roles the work needs. The guide describes a Coder role for claims, a Biller role for payment posting and patient billing, and an assignment step that limits a member to chosen practices. We also need the clearinghouse and payer portals that handle the claims.
03Which CharmHealth reports matter for denial and A/R tracking?
The Claim Denials workspace, with its Denial Watchlist and categories, covers denials, and the Receivables report by payer covers A/R age. The Claim Report and Payment Report cover status and payments. The vendor says all reports export as CSV. We agree the exact set with you at setup.
04How do claims move from CharmHealth to the clearinghouse and payer?
The claim is generated as a CMS-1500 in BillerPro, then sent through a clearinghouse or to the payer. The guide describes a PIF or ANSI 1500 download for electronic submission, and direct submission to Optum for EHR practices that use it. We confirm your route and clearinghouse at setup.
05How does CharmHealth post ERA and 835 remittances?
The vendor lists ERA auto-posting on its billing platform page, and its setup guide says the default Provider adjustment is used when posting from the ERA. EOB payments can also be posted by hand on each claim. We confirm which applies to your account and match each payment to the charge.
06What billing mistakes are common in CharmHealth (charge capture, modifiers, demographics)?
The settings that cause trouble are the provider shown in Box 17 and Box 31, rendering and facility details omitted when they match the billing provider, and place of service or modifiers changed in bulk. Resubmissions without the original reference number in Box 22 are denied as duplicates. We check each against the vendor's guide.
07What happens if a denied claim is resubmitted without the original reference number?
The payer denies it as a duplicate. The BillerPro guide says a corrected claim needs resubmission code 7 and the original reference number in Box 22 of the CMS-1500. We add both when a denial is reworked, and save the edit with the Save: Ready for Resubmission option the guide names.
08Does CharmHealth work with billing companies that do not use its EHR?
Yes, according to the vendor. Its billing platform is described as working across CharmHealth and third-party EHRs. For a practice on another EHR, the guide says the reference data must be entered by hand, or visits imported from the EHR as HL7 DFT_P03 or CSV files. We confirm that feed with you.
09Is there a billing company that works in CharmHealth and BillerPro?
Yes. Nucleus Align works inside CharmHealth on accounts you create, so you keep your system. We work your CharmHealth and BillerPro billing queues under named accounts, covering CMS-1500 claim checks, ERA posting and denial follow-up. Claims go out within 24 hours of charge entry and denials are worked within 48 hours.
10Do we have to share our CharmHealth passwords with a billing company?
No. You create separate named CharmHealth users for the Nucleus Align team, with only the access you choose, plus two-step login and a signed BAA first. You control which BillerPro screens each user can open. Your own staff keep their logins, and you can end ours whenever you decide.
