Valant Billing Support for Behavioral Health Practices

We work inside your Valant account through named, two-step accounts you control, after a signed BAA. We review charges in the Pending Transactions Queue, send claims through your clearinghouse, post remittances and work denials and A/R.

In short: we work in your Valant account with our own named logins, in the queues you assign, and report from your own data. We claim no partnership with the vendor, and the claim rules here come from Valant's own pages and CMS regulations.

Already on this system? We work in it. No EHR, or tired of paying for one? Our billing clients get EHR or PM software free.

What Is Valant and Who Uses It?

Valant is a behavioral health EHR with built-in practice management and billing. Its home page says it serves practices that provide standard outpatient care and practices that run intensive outpatient (IOP) or partial hospitalization (PHP) programs.

Billing sits in a Practice Management area next to Scheduling, Utilization Review, Eligibility Checking, Performance Reporting, an Integrated Clearinghouse Solution and Claim Assist.

The part that is specific to Valant is the mix of psychiatry tools (ePrescribing from the note, controlled-substance and PDMP access) with institutional billing for IOP and PHP. Few outpatient therapy systems carry both.

Can an Outside Billing Company Work Inside Valant?

Yes, when the practice adds us to its own Valant account. Valant's billing page lists role-based billing access, so each person sees only the billing workflows their role needs.

Valant also sells its own Revenue Cycle Management service, in which a Valant billing team works inside the practice's EHR. That is one option. A practice that keeps billing with its own staff or an outside company stays in the same account, and the choice is the practice's.

What Access Does a Billing Partner Need in Valant?

1
Sign the BAA
A Business Associate Agreement is signed before anyone sees a chart. Our staff have HIPAA training and NDAs.
2
Create Named Users with Billing Roles
The practice adds one user per person and assigns a billing role. Clinical notes stay out of scope unless the work needs them. No shared logins.
3
Turn on Two-Step Login
Every user signs in with two-step login, and the practice can remove any account.
4
Read the Account Setup
We check the Tax IDs, billing providers, payer list and clearinghouse connection already in the account against what each payer has on file.
5
Agree Scope and Reporting
Work queues, payers and report format are agreed at setup.

How Do Claims Move from Valant to the Clearinghouse and Payer?

Valant creates charges from scheduled services, holds them for review in a Pending Transactions Queue and then sends claims through a connected clearinghouse. Its billing and biller pages name Waystar and Optum as the integrated options.

The queue highlights coding issues and missing information when a charge is created, and a biller can adjust the recorded appointment there before a claim goes out. Claim Assist adds an automated review of charges against payer- and program-specific rules, with a batch worklist for the claims it flags.

Which claim form an outpatient claim prints on is not stated on the vendor's pages, so we confirm the professional claim layout and payer IDs at setup. For IOP and PHP the vendor says the system bundles services and submits 837I institutional claims, the electronic form of the UB-04.

How Does Valant Post ERA and 835 Remittances?

Valant describes one-click ERA posting, and its clearinghouse page says remittances are received and mapped to patient claims inside the EHR. Insurance aging reports then show overdue ERA payments.

The vendor's public pages do not cover how denial codes, adjustments and secondary balances post, so we confirm those rules at setup before we post anything.

What Billing Mistakes Are Common in Valant?

Valant's own documentation points to a few places where behavioral health claims go wrong. The table pairs each with the check we run.

Quirks from Valant's documentation and CMS rules
Where it shows upWhat the source saysWhat we check
Charges built from the scheduleValant generates charges from scheduled services, and the team reviews and approves them. The Pending Transactions Queue flags coding issues and missing data.Charges left unapproved in the queue. We watch the gap between the visit date and the claim date.
Several Tax IDsValant can bill under a different Tax ID by payer or facility. The Tax ID on each claim matches the billing provider's enrollment with that payer.
Payer-specific rulesClaim Assist lets a practice select or create payer- and program-specific rules, and mentions payers that treat incident-to billing differently.Rule edits are logged, and each payer's rule is matched to its current policy.
IOP and PHP institutional claimsValant supports daily rates, revenue codes, bundled services and 837I submission.Revenue codes and daily-rate lines match the program, and attendance supports every billed day.
Prescriber visits next to a program claim42 CFR 410.43(b) and 410.44(b) list physician, nurse practitioner, physician assistant and psychologist services as separately covered, not paid as PHP or IOP services.Psychiatry visits go on a professional claim, not into the program bundle.
Program hours42 CFR 410.43(c) expects at least 20 hours a week of therapeutic services for PHP, and 410.44(c) at least 9 hours for IOP, shown in the plan of care.Plan of care hours and attendance records line up before the claim goes out.

What Is Different in Valant for Psychiatry and Medication Management?

Valant says prescribers can write prescriptions from the clinical note through an integration with DrFirst, with electronic prescribing of controlled substances and PDMP (state prescription monitoring database) access. These are clinical tools, but they affect billing through the visit record.

The vendor's prescribing portal also handles electronic prior authorization requests. We read that as medication authorization. Authorized hours for IOP and PHP sit in Valant's Utilization Review workflows, and we track those separately for service authorizations.

Which Valant Reports Matter for Denial and A/R Tracking?

Valant documents Insurance & Aging Balances reports for payers and patients, Payments Auditing, Billing Documentation Status and a billing dashboard with color coding for overdue, unbilled and in-process claims.

What we track and why
PurposeWhat we look at
Charge lagDays between the visit and an approved charge, and charges waiting in the Pending Transactions Queue
Claim statusClaims that are unbilled, in process or overdue on the dashboard, by payer
A/R aging by payerOpen accounts receivable by age bucket, including overdue ERA payments
Denial trendsDenial reasons by payer and by program, outpatient against IOP or PHP
Payment varianceInsurance paid against the contracted rate and the adjustment posted
Documentation gapsUnsigned notes and undocumented appointments that hold claims

Report format and timing are agreed at setup.

FAQ

Common Questions

Straight answers from the team that does the work.

Still have a question?

Ask a billing lead directly. A 20-minute call, Monday to Friday, 9am to 5pm Eastern.

01Can an outside billing company work inside Valant?

Yes, when the practice adds us to its Valant account. After a signed Business Associate Agreement, the practice creates a named user for each of our people with a billing role. We use two-step login, never share logins, and the practice can remove any account. The work stays in your own account.

02What access does a billing partner need in Valant?

A named user for each person with a billing role, two-step login and a signed BAA. Valant lists role-based billing access, so we ask for the billing workflows and reports, not clinical notes. The practice decides which Tax IDs, payers and queues each user sees, and agrees the scope with us at setup.

03Which Valant reports matter for denial and A/R tracking?

Valant documents Insurance & Aging Balances reports for payers and patients, Payments Auditing, Billing Documentation Status and a billing dashboard that color codes overdue, unbilled and in-process claims. We use them to follow charge lag, claim status, A/R aging by payer, denial trends and payment variance.

04How do claims move from Valant to the clearinghouse and payer?

Valant builds charges from scheduled services, holds them in the Pending Transactions Queue for review, then sends claims through a connected clearinghouse. The vendor names Waystar and Optum as integrated options. IOP and PHP programs can bundle services into 837I institutional claims. We confirm each payer's route at setup.

05How does Valant post ERA and 835 remittances?

Valant describes one-click ERA posting. Its clearinghouse page says remittances are received and mapped to patient claims in the EHR, and insurance aging reports show overdue ERA payments. The vendor's public pages do not cover denial and adjustment posting rules, so we confirm those at setup.

06What billing mistakes are common in Valant (charge capture, modifiers, demographics)?

Common problems are charges left unapproved in the Pending Transactions Queue, the wrong Tax ID for a payer, payer-specific rules that are out of date and, in IOP or PHP, prescriber visits placed in the program bundle. We check each before submission. The quirks table above lists the sources.

07Can Valant bill under more than one Tax ID?

Yes. Valant's billing page says practices can bill under different Tax IDs by payer or facility. The risk is a mismatch: a claim must carry the Tax ID that the payer enrolled for that billing provider. We compare the Tax ID in Valant with each payer's enrollment before we send claims.

08Does Valant support IOP and PHP billing?

Valant's IOP/PHP page lists group scheduling, attendance, level of care tracking, utilization review and institutional billing with daily rates, revenue codes and bundled services submitted as 837I claims. We check revenue codes and attendance against the program and the plan of care before a claim goes out.

09Why are psychiatry visits billed separately from IOP or PHP claims?

Under 42 CFR 410.43(b) and 410.44(b), physician, nurse practitioner, physician assistant and psychologist services are separately covered and not paid as PHP or IOP services. A psychiatrist or PMHNP visit therefore goes on a professional claim, not into the institutional program claim. We check this during charge review.

10Is there a billing company for psychiatry and therapy practices on Valant?

Yes. Nucleus Align supports behavioral health practices that run Valant. Working with access you grant, we review charges, submit professional and IOP or PHP institutional claims, post remittances and work denials within 48 hours. Scope and reporting are agreed with you at setup.

11Medical billing service for Valant users

12Can an outsourced billing team use our Valant logins?
