CareCloud medical billing and RCM support
An outside billing company can work your accounts inside CareCloud on logins you issue, after a BAA is signed. CareCloud also sells billing services of its own, so the first job is deciding which queues stay with whom.

In short: you keep CareCloud and we work the billing queues you hand over, from named users with two-step login. Nucleus Align has no partnership with CareCloud.
What does CareCloud sell, and who is it for?
CareCloud, Inc. sells cloud-based software and services for medical practices. Its own site lists an electronic health record (EHR), practice management, revenue cycle management, telehealth and patient experience tools, plus services such as medical coding, credentialing and staff augmentation.
The company's pages are written mostly for practices. Its navigation groups customers as small medical practices, large medical groups, academic institutions and health systems, and its specialty list names therapy, internal medicine, family practice, urgent care and general surgery.
| Name on CareCloud's site | What the vendor says it is | What it changes for a biller |
|---|---|---|
| EHR (listed as Charts) | Cloud EHR with charting, order sets, a unified inbox and quality tracking | Charges originate in the encounter |
| Practice management (CareCloud Central) | Scheduling, eligibility, billing, payment posting, contract terms and a dashboard | Where claims are built and worked |
| CollectiveIQ | A rules engine that checks claims against payer, coding and documentation rules before submission | Edits appear before a claim goes out |
| Revenue cycle management | Registration through collections, including denials, appeals and ERA/EOB posting | Overlaps the work an outside biller does |
| Managed billing and Billing Partner Program | Listed beside the EHR as related offerings | Tells you who owns a queue |
| Robotic process automation | Automation of repetitive tasks | Some posting may be automatic |
We state no certification detail. CareCloud's EHR page calls its software fully certified, and we make no certification claim for it.
CareCloud sells billing services too, so who works the claims?
Whoever your contract names. CareCloud's managed billing page says its own billing team works claims with practice access to every queue, so an account may already have two parties in it.
The vendor's RCM page also says its revenue cycle tools can connect to an existing EHR or practice management system. We describe that as stated by CareCloud and check what is actually switched on in your account.
How do claims leave CareCloud and reach the payer?
CareCloud's billing page describes a built-in clearinghouse and a mix of clearinghouses plus direct billing. Which route a given payer uses is set per account, so we confirm each payer's route in your account.
CollectiveIQ, per the vendor, checks claims before they leave and says it carries millions of Medicare and commercial payer edits. A claim it holds for review is not yet at the payer, so we work those holds first.
HIPAA names the ASC X12N 837 as the claim transaction, and 45 CFR 162.1602 names the X12 835 as the remittance advice standard. The 835 is the file a payer sends back to explain what it paid and why it adjusted the rest.
CMS says the CMS-1500 is the non-institutional claim form, and that the UB-04 (CMS-1450) is the institutional form designed by the NUBC. CareCloud's pages describe practices and do not say whether the platform produces institutional claims, so a facility should have us confirm that at setup. A hospital or ER group should confirm that before any billing move.
What access does an outside billing team need in CareCloud?
A personal login for each person on our team, issued by your administrator and removable by you at any time. The Business Associate Agreement (BAA) is signed first, and no one shares a login.
Staff complete HIPAA training and sign NDAs, and our backups are encrypted and automatic. The rest is on our security page.
What do we do inside a CareCloud account?
- Review charges for codes, modifiers, diagnoses and rendering provider before release
- Clear rule-engine holds and rejections so claims go out within 24 hours of charge entry
- Submit through the clearinghouse your account already uses
- Post each ERA (electronic remittance advice) against expected payment and flag short pays
- Work denials from a queue within 48 hours, with appeals where the record supports one
- Follow up open A/R, oldest and largest balances first
- Send patient statements and return eligibility or demographic problems to your front desk
Which CareCloud reports matter for denial and A/R tracking?
Report names vary by plan, so we describe each pull by purpose. CareCloud's pages mention a performance dashboard with key indicators, claims and denial analytics, and revenue analytics. Its RCM page names AR days, net collection rate and first-pass resolution rate as indicators.
- Charge lag: days between the visit and the charge entry
- Claim status: unbilled, held for edits, sent, rejected or paid
- A/R aging by payer: where open money sits and how old it is
- Denial trends: payers, reason codes and providers that repeat
- Payment variance: paid amount against the contract or expected amount
If no standard report shows a view, we build it from an export and agree the source with you first.
What billing mistakes are common in CareCloud?
We attribute no defect to CareCloud. These are the checks we run on any ambulatory account, and CareCloud's own rule engine is one layer of them.
- Rendering provider and service date on each charge, since a mismatch breaks the payer match
- Modifiers on professional lines, checked against the code and the payer's policy
- Demographics and member ID against the card and the eligibility response
- Held claims: the edit text, who clears it and how long it has waited
- Remit posting: contractual adjustments, patient responsibility and denial codes recorded correctly on the 835
- Contract terms: stored rates matched to what payers paid
Which practices and facilities does this suit?
CareCloud's public pages describe ambulatory practices. Our pages on urgent care billing, internal medicine and general surgery cover the specialties it lists. Larger groups can start from large groups and health systems.
Other cloud systems we cover include CureMD, AdvancedMD and Tebra. The full list is on the EHR systems page.

Common questions
Straight answers from the team that does the work.
Ask a billing lead directly. A 20-minute call, Monday to Friday, 9am to 5pm Eastern.
01Can an outside billing company work inside CareCloud?
Yes, on logins your practice issues. Each of our staff gets a named user with billing-only permissions after the BAA is signed, and nothing is shared. If your account also uses CareCloud's own managed billing, we first agree in writing which queues are ours and which are theirs.
02What access does a billing partner need in CareCloud?
One personal user per team member, created by your administrator, with permissions for billing, claims and reports only. Each signs in with two-step login, and the BAA comes first. Which payers and queues we own is settled with you at setup, and you can disable any user at any time.
03Which CareCloud reports matter for denial and A/R tracking?
Claim status, A/R aging by payer, denial trends by reason code, charge lag and payment variance. CareCloud mentions a performance dashboard and claims and denial analytics. We use what your plan includes and build any missing view from an export, agreeing the data source with you first.
04How do claims move from CareCloud to the clearinghouse and payer?
CareCloud describes a built-in clearinghouse and a mix of clearinghouses plus direct billing, with its rules engine checking claims first. The public pages do not list which payer uses which route, so we confirm that in your account and then follow each claim to acceptance, rejection or payment.
05How does CareCloud post ERA and 835 remittances?
CareCloud lists payment posting from ERA and EOB files and robotic process automation. We read how posting is set in your account, then compare what was posted with the X12 835 remittance, including adjustment and patient-responsibility amounts, so one wrong rule does not repeat across many payments.
06What billing mistakes are common in CareCloud (charge capture, modifiers, demographics)?
We name no CareCloud defect. Across any system the usual causes are a wrong rendering provider or service date, missing modifiers, and demographics that differ from the payer's record. We screen each before release, and CareCloud's rule engine adds a further check for payer and coding rules.
07Is CareCloud data safe with an offsite billing team under a BAA?
The BAA is signed before any access to patient data. Our staff have HIPAA training and NDAs, sign in with two-step login on personal users, and backups are encrypted and automatic. How CareCloud secures its own platform is described by CareCloud, and we make no claim about it.
08Does CareCloud handle institutional UB-04 claims or only professional claims?
CareCloud's pages describe practices and do not say, so we confirm it at setup. CMS names the CMS-1500 as the non-institutional form and the UB-04 (CMS-1450) as the institutional one. A hospital or ER group should ask CareCloud what its build produces before we agree on a facility billing workflow.
09Can a billing vendor connect CareCloud to our existing clearinghouse and payer portals?
That depends on your account setup and contracts. We use the clearinghouse and payer portals you already have, and we check how your CareCloud account routes claims to them. We do not replace your clearinghouse unless you ask, and any change is agreed with you in writing.
10What does outsourcing billing cost for a CareCloud practice or facility?
Our fees are on the pricing page, the only place we state them. The scope you pick, such as claims only or the full cycle with denials and A/R, is agreed with you at setup. The EHR you use is not what sets the price.
11Medical billing service for CareCloud users
Yes. Nucleus Align works inside CareCloud on accounts you create, so you keep your system. We work the billing queues you hand over in CareCloud, covering charge review, claims, remit posting, denials and A/R follow-up. Claims go out within 24 hours of charge entry and denials are worked within 48 hours.
12Can Nucleus Align work in CareCloud without sharing a login?
Yes. Each person on our team gets a named CareCloud account of their own under a business associate agreement, with two-step login. Each login is a named user you control. That keeps every action traceable to one person, and you decide when access ends.
