Ritten Billing Services for Behavioral Health and Addiction Treatment

We work inside your Ritten account through named, two-step accounts you control, after a signed BAA. We check programs, levels of care and authorizations, send claims through your clearinghouse, post remittances and work denials and A/R.

In short: we work in your Ritten account with our own named logins, in the queues you assign, and report from your own data. We claim no partnership with the vendor, and the facts here come from Ritten's own pages, CMS manuals and the federal Part 2 rule.

Already on this system? We work in it. No EHR, or tired of paying for one? Our billing clients get EHR or PM software free.

What Is Ritten and Who Uses It?

Ritten is a cloud-based EMR and practice-management platform built for behavioral health, according to its own site. It covers admissions, scheduling, charting, outcomes, revenue cycle and AI documentation.

The vendor says it serves inpatient, residential, partial hospitalization (PHP), intensive outpatient (IOP) and outpatient programs. It names substance use, mental health, eating disorders and process addiction, and lists detox facilities, residential treatment centers and full continuum programs among its users.

Ritten is web-based. Its site says it has role-based access and audit logs, and supports 42 CFR Part 2, the federal rule for substance use disorder records.

Which Ritten Modules Touch Billing?

Names and descriptions below are the vendor's own.

ModuleWhat the vendor says
RCM overviewClaims generate from a billing rules engine, and most go out no-touch on the CMS-1500 and UB-04. Eligibility checks run in the app.
ClaimificationTurns encounters into CMS-1500 and UB-04 claims from rules you configure by payer, program and visit type.
Utilization Review and AuthorizationsTracks authorizations, expiry dates and remaining units, and applies them to claims.
Client Payments and CopaysCard and ACH payments in the app, invoices, superbills and one client balance view.

The vendor says IOP and PHP programs can keep an outside billing partner.

What Access Does a Billing Partner Need in Ritten?

We need named, role-based accounts that your administrator creates. Nothing is shared, and nothing is opened before the paperwork is signed.

1
Sign the BAA First
Nucleus Align signs a Business Associate Agreement (BAA) before any record is opened.
2
Your Administrator Adds Named Users
Each person on our team gets a separate login with role-based access, limited to billing, authorizations and the programs in scope.
3
Turn on Two-Step Login
Every account we use is protected with two-step login, including clearinghouse and payer portals.
4
Check Substance Use Records
If any program is covered by Part 2, your compliance lead confirms the patient consent covers the billing disclosure before we see those records.
5
Agree Scope and Reporting
Which queues we own and which stay with your team are written down at setup, along with how we report.

Our security page covers data protection.

How Do Claims Move from Ritten to the Clearinghouse and Payer?

Ritten builds the claim from the encounter and your billing rules, then it goes to a clearinghouse and on to the payer. The vendor says exact connectivity, including clearinghouse, ERA and status transactions, depends on your configuration.

Ritten says it fills both the CMS-1500 and the UB-04. We confirm per payer and program which form is expected.

We send claims within 24 hours of charge entry and fix rejections before they age.

How Does Billing Work for Residential and Detox Programs in Ritten?

Ritten says it separates per diem facility claims from billable medical encounters automatically. A per diem is one flat daily rate for each day of facility care.

Its claims page lists three paths: encounters create claims directly, encounters bundle into per diem claims, or per diem claims are generated from program enrollment. The vendor also says encounter data can be exported when medical services bill through a separate entity.

That split matters on the UB-04. In the CMS Claims Processing Manual, chapter 25, form locator 46 units count days of accommodation for each revenue code, and the revenue code in FL 42 explains each charge in FL 47. A per diem line with the wrong unit count pays the wrong amount.

We state no revenue or HCPCS codes for these settings here, because they differ by payer and state. We take them from the payer contract and state Medicaid manual, then check them against what Ritten generated.

What Billing Mistakes Are Common in Ritten?

We attribute no defects to Ritten. These checks come from what the vendor says its rules do and from CMS manuals.

Does 42 CFR Part 2 Change How We Bill Addiction Treatment?

It can. Under 42 CFR 2.12, the rule covers records that identify a patient as having a substance use disorder from a federally assisted part 2 program.

Under 42 CFR 2.31(a)(4)(i), a single patient consent can cover future disclosures for treatment, payment and health care operations, naming recipients such as health plans and people helping to operate the program. Your compliance lead decides whether your consent form meets that.

How Does Ritten Post ERA and 835 Remittances?

An ERA is the electronic X12 835 file a payer sends to explain a payment. Ritten says payments, adjustments and patient responsibility auto-post from ERAs, and that denials post back to the claim with the specific reason.

The vendor publishes no posting steps. We review payments against the 835, flag short pays, and work denials from the reason shown on the claim. Who posts is agreed at setup.

What Do We Do in Ritten Each Day?

We follow each service from charge to cash in the queues you assign.

  • Charge review: program, units, dates and diagnosis against the note and authorization.
  • Claim edits: automated eligibility checks and multiple claim scrubbing rules. See eligibility verification.
  • Submission: claims go out through your clearinghouse within 24 hours of charge entry.
  • Posting: payments and adjustments from the 835, with short pays flagged.
  • Denial work: denials are worked within 48 hours. See medical billing.
  • A/R follow-up and patient statements, payer balances first.

Which Ritten Reports Matter for Denial and A/R Tracking?

The vendor says it offers dashboards for claim status, A/R, payer performance, payments and adjustments, and client balances. Names differ by setup, so we describe reports by purpose, and scope and reporting are agreed at setup.

PurposeWhat we look for
Claim statusClaims sent but not accepted, and age since submission.
A/R aging by payerBalances over 60 and 90 days, split by program.
Denial trendsRepeat reasons by payer, program and authorization.
Payment variancePaid amounts against the expected per diem or fee schedule.

FAQ

Common Questions

Straight answers from the team that does the work.

Still have a question?

Ask a billing lead directly. A 20-minute call, Monday to Friday, 9am to 5pm Eastern.

01Can an outside billing company work inside Ritten?

Yes, if your organization gives it access. Ritten says you can keep your own billing partner, and your administrator can create named users for an outside team after a BAA is signed. We never use shared logins, and you decide which queues we work.

02What access does a billing partner need in Ritten?

Named logins with role-based access, limited to billing, authorizations and the programs in scope, with two-step login on and a signed BAA first. For Part 2 programs, your compliance lead confirms that patient consent covers the disclosure to us before we open those records.

03Which Ritten reports matter for denial and A/R tracking?

Claim status, A/R aging by payer, denial trends, payment variance and authorization use. The vendor says it has dashboards for claim status, A/R, payer performance, payments and adjustments, and client balances. We describe reports by purpose because names differ by setup.

04How do claims move from Ritten to the clearinghouse and payer?

Ritten builds the claim from the encounter and your billing rules, then it goes through a clearinghouse to the payer. The vendor says connectivity depends on your configuration. We send claims within 24 hours of charge entry and fix rejections before they age.

05How does Ritten post ERA and 835 remittances?

The vendor says payments, adjustments and patient responsibility auto-post from ERAs, and denials post back to the claim with the reason. It publishes no posting steps on its pages. We review posting against the 835, flag short pays and agree the split of work at setup.

06What billing mistakes are common in Ritten (charge capture, modifiers, demographics)?

We attribute no defects to Ritten. Because codes, modifiers and revenue codes are configured per payer and program, we check each rule, the day counts, type of bill, authorization dates and provider mapping on sample claims before volume goes out.

07Does Ritten create UB-04 and CMS-1500 claims?

Yes, the vendor says its Claimification engine converts encounters into CMS-1500 and UB-04 claims using the rules you configure. We confirm with each payer which form it expects for each program, since residential and outpatient services can differ by payer.

08Can Ritten handle per diem billing for residential programs?

The vendor says it separates per diem facility claims from billable medical encounters, and can create per diem claims from program enrollment. We check that the days billed match the stay and the authorization, and that the payer's rate and codes are applied.

09Does Ritten track authorizations for IOP, PHP and residential care?

The vendor says it tracks authorizations for outpatient, IOP, PHP, residential and SUD programs, links them to payer and CPT code, and follows expiry dates and remaining units. We bill only sessions inside approved dates and units, and flag clients nearing limits.

10Do you work with Ritten as a partner?

No. Nucleus Align has no partnership, certification, reseller status or endorsement with Ritten. We work inside your Ritten account under access you control, and we describe the system only from the vendor's own pages and official rules such as CMS manuals.

11Is there a billing company for addiction treatment programs on Ritten?
