Experity billing services for urgent care clinics

We work inside your Experity system through named, two-step accounts you control, after a signed BAA. We review urgent care charges, send claims through your clearinghouse, post remittances and work denials and A/R.

In short: we work in your Experity environment with our own named user accounts, in the queues you assign, and report from your own data. We claim no partnership with the vendor, and the rules here come from CMS and federal regulations.

What is Experity and which urgent care teams run on it?

Experity is a software and services company based in Machesney Park, Illinois, that builds an urgent care platform. Its site presents one connected system for check-in, charting, billing and follow-up, and it targets urgent care clinics, with visit workflows for telemedicine, worker's comp and occupational medicine as well.

The home page lists several product lines side by side: Experity EMR/PM, DocuTAP EMR/PM, Clockwise Patient Engagement, Calibrater Patient Engagement, Experity Connected and Business Intelligence. We confirm which product you run before we plan any work.

Names as shown on experityhealth.com. We use them only to describe screens and tools you may see.

What does an urgent care claim from Experity look like to a payer?

A clinician's visit goes to the payer as a professional claim, the CMS-1500 on paper or the 837P electronically. 45 CFR 162.1102 names ASC X12N 005010X222 as the professional claim standard, and 45 CFR 162.1602 names ASC X12N 005010X221 as the 835 remittance advice standard.

Place of service is the first field we look at on an urgent care claim. The CMS place of service code set defines code 20 as an urgent care facility: a location, distinct from a hospital emergency room, an office or a clinic, whose purpose is to diagnose and treat illness or injury for unscheduled, ambulatory patients seeking immediate medical attention.

The same CMS list defines code 18 as a place of employment or worksite and code 17 as a walk-in retail health clinic. A clinic that sees walk-ins and employer visits needs the right code on each claim, set from where the care happened.

Experity's public pages do not say how its system builds an institutional claim, so we confirm it at setup. If your site bills facility fees on a UB-04, for example a hospital-owned urgent care, we check how that claim is built in your setup before we send it.

How does an outside billing team get into your Experity system?

We work inside accounts you create and control.

1
Sign the BAA
Nucleus Align signs a Business Associate Agreement (BAA) with you first. Our staff have HIPAA training and NDAs in place before they see a record.
2
Your administrator creates named users
Each member of our team gets their own login with role-based access limited to billing work. We do not share logins.
3
Two-step login
Every account uses two-step login, including the clearinghouse and payer portals we reach on your behalf.
4
Confirm your product and routing
We agree which Experity product you run, which clearinghouse sends your claims, and which payer portals we may use.
5
Agree scope and reporting
Which queues we own, which stay with your front desk, and how we report are agreed at setup and written down.

What do we do inside Experity each day?

We follow the claim from charge to cash, in the queues you assign.

  • Charge review: we check procedure codes, modifiers, diagnosis pointers, rendering provider and place of service before a charge becomes a claim.
  • Claim edits: we clear claims held by the system or the clearinghouse, using automated eligibility checks and multiple claim scrubbing rules.
  • Submission: claims are sent through your clearinghouse, within 24 hours of charge entry.
  • ERA posting: we post payments and adjustments from the 835 file, and flag short pays and unmatched items.
  • Denial work queues: denials are worked within 48 hours, with appeals prepared from the CARC and RARC on the remittance.
  • A/R follow-up and patient statements: we chase unpaid payer balances and send statements for patient responsibility.

Which reports do we pull for an urgent care operator?

We describe reports by purpose, because the report names and filters differ between Experity products and builds. Scope and reporting frequency are agreed at setup.

PurposeWhat we look for
Charge lagDays from visit to charge entry, by clinic and provider
Claim statusClaims sent, accepted, rejected or unpaid, by payer and age
A/R aging by payerBalances in 0 to 30, 31 to 60, 61 to 90 and over 90 days, split by payer
Denial trendsTop denial reasons by CARC and RARC, by payer, clinic and provider
Payment variancePaid amounts against what the payer contract expects, per visit type

Which checks do we run on urgent care claims?

These are general checks we run on any urgent care account. They are not defects in the software.

Place of service definitions are from cms.gov. Payer rules are checked against the payer's own documents.

How we handle billing in Experity

We run billing inside your Experity setup, through named accounts, your clearinghouse and your payer portals, and we report from your own data. We make no claim of partnership with Experity, and Experity also offers its own billing services, so we agree up front which tasks are ours and which stay with you.

Our urgent care networks page explains how we work with multi-site operators, and our UrgentIQ page covers another urgent care system. For access and data protection, see security. Our medical billing service covers the whole cycle. To start, book a call.

FAQ

Common questions

Straight answers from the team that does the work.

Still have a question?

Ask a billing lead directly. A 20-minute call, Monday to Friday, 9am to 5pm Eastern.

01Can an outside billing company work inside Experity?

Yes, if your clinic gives it access. Your administrator creates a named user for each person, limited to billing roles, after a Business Associate Agreement is signed. We use those accounts, never shared logins, so your audit trail shows who did what and you can switch access off at any time.

02What access does a billing partner need in Experity?

Billing roles only: the charge, claim, payment and account screens, plus the reports you choose to share. Each person has a named login with two-step login. Your administrator controls every permission and can change or remove it at any time, so access always matches the work.

03Which Experity reports matter for denial and A/R tracking?

We look for charge lag, claim status, A/R aging by payer, denial trends by CARC and RARC, and payment variance. Report names differ between Experity products and builds, so we map each purpose to the report you have during setup and agree how often we review them.

04How do claims move from Experity to the clearinghouse and payer?

Experity's public pages do not describe the claim route in detail, so we confirm yours at setup. A professional claim normally leaves as an 837P through a clearinghouse, and the payer returns an 835. 45 CFR 162.1102 names the 005010X222 standard for that claim.

05How does Experity post ERA and 835 remittances?

Auto-posting settings differ by build, so we confirm yours at setup. We post from the 835 file in your setup, match payments to claims, and flag short pays and unmatched items. The standard is ASC X12N 005010X221 under 45 CFR 162.1602.

06What billing mistakes are common on urgent care claims?

Wrong place of service, missing or misplaced modifiers, bad demographics and unmatched payments cause most rework. Place of service 20 is urgent care facility under the CMS code set, but a worksite visit uses 18. We check these fields before a charge becomes a claim.

07Is Experity data safe with an offsite billing team under a BAA?

We sign a Business Associate Agreement with every client, all staff have HIPAA training and NDAs, and every system login uses two-step login. Backups are encrypted and automatic, and a dedicated compliance officer oversees it. Our security page has the detail.

08What does place of service 20 mean on an urgent care claim?

The CMS place of service code set defines code 20 as an urgent care facility, distinct from a hospital emergency room, an office or a clinic, for unscheduled ambulatory patients. A worksite visit uses 18 instead. We check the code on each claim, and payer rules are checked in the payer's own documents.

09Can a billing vendor connect Experity to our existing clearinghouse and payer portals?

We work through the clearinghouse and portals you already use, with named logins you control. We do not ask you to change them. Whether Experity can connect to a particular clearinghouse is something your vendor contact confirms, and we agree the route with you before we send claims.

10How is billing scope agreed if we also use Experity's billing services?

Experity offers its own urgent care billing services, so we agree in writing which queues and tasks each side owns, such as claim submission, denial follow-up or patient statements. Scope and reporting are agreed at setup, so there is no overlap in who touches a claim.

11Medical billing service for urgent care centers using Experity

Yes. Nucleus Align works inside Experity on accounts you create, so you keep your system. We work the queues you assign in your Experity environment, checking urgent care claims, posting remits and working denials and A/R follow-up. Claims go out within 24 hours of charge entry and denials are worked within 48 hours.

12Do we have to share our Experity passwords with a billing company?

No. You create separate named Experity users for the Nucleus Align team, with only the access you choose, plus two-step login and a signed BAA first. You create each named user and can change roles. Your own staff keep their logins, and you can end ours whenever you decide.
